Terms & Conditions


Bookings are subject to the following terms and conditions as agreed to at the time of booking:

General Terms:

A contract between you (the client) and the us (the owners) will come into existence only when we receive payment and accept your booking by issuing a confirmation of booking for the holiday dates shown in the rental agreement. The contract binds you & all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.

A non-refundable deposit of 25% of the holiday price is payable at the time of booking. Bookings made less than six weeks before your arrival date must be accompanied by the full amount of the holiday charge and the required refundable damage deposit (see below).

The balance must be paid so as to arrive no later than six weeks before the commencement of your holiday. If the balance is not received by the due date then your holiday will be treated as a cancellation and the client will remain liable to pay the balance of the rent.

All cancellations must be immediately notified by email. If you cancel your holiday more than 6 weeks before it is due to start then your deposit will be forfeit, unless we are able to re-let the cottage. If you cancel less than 6 weeks prior to the holiday then the full balance remains due and is not refundable, unless we are able to re-let the cottage. Should the cottage be re-let than your deposit and/or balance payment will be refunded (less a £35 administration fee) at the point the new guests’ deposit it received by us. While we will attempt to re-let it cannot be guaranteed and if not then you remain liable for the balance due.

We strongly advise that you take out comprehensive travel insurance. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation. 

Your booking will not be cancelled by us except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us.

Damage deposit – In making a booking you accept responsibility for any theft, breakage or damage caused by you or any member of your party and agree to indemnify us in full for any loss that we may incur as a result. We ask for a £100 refundable damage deposit to be paid with the balance of your holidyay charge. An additional £50 deposit is required if your dog is staying at the cottage. Damage deposits will normally be refunded within 7 days of the completion of your holiday less the cost of any damages / breakages.

The number of persons using the accommodation at any time must not exceed 4 and only those people listed on the booking form can occupy the cottage. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition. 

Bookings cannot be accepted from persons under 25 years of age.

We reserve the right to refuse a booking without giving any reason.

You may in no circumstance re-let or sublet the property, even free of charge.

We or our representative reserve the right to enter the cottage at any time to undertake essential maintenance or for inspection purposes.

Tenancies normally commence at 4pm unless otherwise agreed and guests are required to vacate the cottage by 10am on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared for incoming guests. Prior to departure please ensure that a) any dirty dishes are placed in the dishwasher and it turned on, b) all bins are emptied and rubbish placed in the external bins, c) if used the fire and BBQ are cleaned out and d) you leave the cottage in a reasonable and tidy condition. 

We reserve the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.

The WiFi internet connection is available (at no extra cost) subject to technical availability and is offered on a fair and ethical use basis. We reserve the right to pass to law enforcement and/or our internet service provider guest details should the internet connection be used to illegally download content, access illegal content or used in an unethical way.

We shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building or grounds. 

Smoking or vaping anywhere on the premises will result in immediate termination of occupancy and forfeiture of all payments. This must be strictly adhered to and any damage or extra cleaning caused by smoking will be at the expense of you. 

Hot tub temporary hire is prohibited at Beach Cottage.

Children under 18 must be supervised by their parents/guardians at all times. Whilst the garden is enclosed and gated we recommend dogs are also similarly supervised while outside and are not liable for any dogs escaping from the grounds.

We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.

Any problem or complaint which the client may have concerning their holiday must be immediately reported directly to us/our representatives and we will endeavour to put matters right. Any complaints not reported to us/the property manager at the time and only reported after the client has returned from holiday will not be considered by the proprietor.

Our EPC Rating is D. Should you wish to see our EPC certificate, or any of our risk assessments, then please do ask.

Dogs:

One well behaved dog over the age of 12 months is allowed in the cottage only by prior agreement at the time of booking and at the cost of £20 to cover additional cleaning and wear and tear. Dogs are not allowed on the beds or other furniture and must not be left alone in the cottage. All dog mess must be collected from the garden / grounds, bagged and disposed of in the general waste bin. At our discretion we may allow an additional dog, subject to size of dog and number of other guests staying.

Damage & Security:


Please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. In the event that you notice damage in the cottage please let us know immediately so that we can take the appropriate action. If there have been any breakages during your stay, we would be grateful if you could replace them or advise us before you leave. The cottage will be inspected at the end of the holiday & you may be charged for any loss or damage found.

Please ensure you lock the doors and close the windows when they leave the property unoccupied.

Please note that in the event that any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you.

All items/ inventory must remain in the cottage and not be taken outwith the cottage. 

Covid19:

Beach Cottage held the Hospitality Industry “Good to Go” accreditation re Covid19. We continue to use cleaning materials and practices considered to be effective against Covid19. If you have any concerns in this area we are more than happy share our risk assessments and answer your questions.

In the now unlikely event that Beach Cottage not be available for you to stay in due to a local or other lockdown covering Sandend, then notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us.

As Covid is now considered to be an endemic rather than a pandemic, it is treated as any other illness would be. Should you be unable to travel to Beach Cottage because of either yourself or one of your party is displaying Covid symptoms, or because of a local or other lockdown is preventing you from travel, then we would ask that you notify us by email as soon as possible. We will then attempt to re-let the property. Should the cottage be re-let then your deposit and/or balance payment will be refunded (less a £35 administration fee) at the point the new guests’ deposit is received by us. While we will attempt to re-let it cannot be guaranteed and if not then you remain liable for the balance due.

As per our normal terms and conditions we strongly advise you to take out comprehensive travel insurance to cover your holiday with us. While we are not allowed to recommend providers at the time of writing it was possible to find some insurance policies which cover Covid19 cancellations.

We reserve the right to make reasonable amendments or additions to these terms and conditions without notice. 

Privacy Policy

We are committed to ensuring that your privacy is protected.

 

This Policy defines how we use and protect Data collected by us in relation to your use of the Web Site and any Services or Systems provided therein.

Data is collected and stored in compliance with the EU General Data Protection Regulation (GDPR) and, unless we are obliged by law to do so, your Data will not be disclosed to third parties.

What we collect

We collect only such Data as is necessary to provide you with the best possible service.

If you agree to it via the pop-up Cookies Acknowledgement button, we use Cookies to collect statistics about how you use our site eg which webpages you visited and for how long. None of the Cookies set by the Web Site jeopardise your privacy in any way and no personal data is collected.

If you contact us we will collect your name and contact details including your postal address, email address and contact telephone number.

If you make a booking with us we will collect Data necessary to confirm the details of your booking including number, name and age of all guests.

Why do we collect the Data?

We collect statistics about your use of our website via Cookies to enable us to refine our service offering eg by removing pages which are rarely visited and adding further detail to pages which are more frequently visited by users.

We request Data from you to enable us to respond to a request from you for information, to enable us to complete a booking as requested by you and, occasionally, send you promotional emails about special offers or other information which we think you may find interesting.

Your Data Rights

You have the right to request details of the personal Data we hold about you (please use the Contact Us facility to raise your request and we will respond with a full list of any Data we hold about you).

You have the right to withdraw your consent for us to retain your Data at any point. Upon receipt of your instruction we will delete your Data after 180 days (the 180 day retention period is to enable us to respond to any Court authorised request from government or law enforcement officials for its disclosure).

You have the right to lodge a complaint regarding our collection, retention or use of your Data with the UK Information Commissioners Office (ICO).

Security

We are committed to ensuring that your Data is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure Data collected online.
